We usually collect information directly from you through our website, Stripe checkout, onboarding, meetings, email and connected business tools
We may also receive information from an authorised member of your organisation, a service provider you ask us to connect, or a public business register. Where required, we will take reasonable steps to ensure the individual knows why the information was collected and how it will be used

5 AI processing
Some Dashly services use third-party AI model providers to process prompts, business content or workflow inputs. We configure these services with reasonable safeguards and limit information to what is needed for the agreed task
Do not submit highly sensitive personal information, health information, financial credentials, government identifiers or confidential third-party data to an AI feature unless we have expressly agreed how it will be protected
AI outputs are subject to human review and are not used by Dashly to make solely automated decisions that produce legal or similarly significant effects about individuals
6 When we share information
We may share information with service providers that help us deliver Dashly, including Stripe, hosting and cloud providers, communications platforms, AI model providers, professional advisers and vetted contractors
We share only what is reasonably needed for the relevant purpose and require appropriate confidentiality or data-protection safeguards where practicable. We may also disclose information where authorised by you, required by law, or necessary to protect rights, safety or system security
We do not sell personal information
7 Information processed outside New Zealand
Some service providers may process or store information outside New Zealand. Before disclosing personal information overseas, we take reasonable steps to comply with Information Privacy Principle 12, including using providers subject to the Privacy Act, comparable safeguards or contractual protections, or obtaining authorisation where required
8 Storage security and access controls
We use reasonable administrative, technical and organisational safeguards appropriate to the information and service. These may include restricted access, multi-factor authentication, encryption provided by our platforms, backups, logging and provider security reviews
No system is completely secure. You must also protect account credentials, apply appropriate access controls and notify us promptly of suspected compromise
9 Retention and deletion
We retain personal information only for as long as reasonably needed for the purpose collected, ongoing support, dispute resolution, security and legal or accounting obligations
Project information is reviewed when a service ends. Subject to legal, backup and technical constraints, information that is no longer required is deleted or de-identified. You may request deletion, but we may retain information where required or permitted by law
10 Access and correction
You may ask for access to personal information we hold about you or request a correction. Contact info@kantotalks.com and describe the information concerned
We may need to verify your identity or authority. If we cannot provide access or make a requested correction, we will explain why where the Privacy Act requires us to do so
